Harvest Box Policies

Please read these Policies in full. They contain important information that ensures you will know what to expect and will enjoy being a part of Rootdown’s Harvest Box Program.


Dates

Our MAIN CSA Harvest Box Season runs for 16 weeks. The first box is ready the last week of June (June 24th), and the last box occurs the first week of October (October 7th). 

In previous years, we’ve been able to supply produce for additional weeks, both early season and late season. Members will be notified if these become available. They are likely but not guaranteed. Early and late season deliveries are usually once every 2 weeks, instead of every week.


Communication

It is expected that you check for and read all email communications from Rootdown Farm prior to, throughout, and after the Harvest Box season. These emails contain important information regarding pick ups, payments, order deadlines, and more.

Email is also how you will receive the weekly newsletter, which includes recipes and storage tips for in-season vegetables, and helps you make the most out of your Harvest Box Share

Please check your junk, spam, or promotion folders for emails from us after sign up, and add us to your mailing list as per your email provider.


Payment and Fees

  • $200 - Starter Size Harvest Box Share. Includes a $10 one-time Admin Fee, for a total cost of $210.

  • $350 - Mid Size Harvest Box Share. Includes a $10 one-time Admin Fee for a total cost of $360.

  • $600 - Full Size Harvest Box Share. Includes a $10 one-time Admin Fee for a total cost of $610. Sign up for this size and recieve a 2.5% bonus credit, for a total season-long credit of $615.

  • $800 - Extra Large Size Harvest Box Share. Includes a $10 one-time Admin Fee for a total cost of $810. Sign up for this size and recieve a 3% bonus credit for a total season-long credit of $824.

  • Top Up Share Sizes. If you run out of credit before the Harvest Box season is over, no problem! You’ll be able to purchase Top-Up Shares in smaller amounts, OR simply pay be credit card as you go each week after that.

Please note that the majority of your credit must be used within the 2025 Harvest Box season. Small amounts (under $50) can be carried over to the 2026 season.

Payment can be made either by credit card or by e-transfer to simone@rootdownfarm.net. This is due upon check out. If you choose to pay by credit card, you will be charged a 3% fee to cover that cost. If e-transfer is chosen and payment is not recieved within 5 days of your initial Harvest Box Share purchase, your order will be cancelled until payment is recieved (at which point it will be restored). All fees (Credit Card Fee and Admin Fee) are non-refundable.

Ordering Deadlines

Each week, you will have from Thursday afternoon or evening until Saturday at 10 PM to place an order for the following Tuesday. By respecting this deadline you help to keep us on track during our very busy harvest schedule. This allows us to run a smoother farm operation, and do what we do best - deliver fresh, top quality vegetables to our many customers! We will send reminders out each week when our store opens, and before it closes.

Customers who do not place a deadline by the Saturday at midnight will not have an order to pick up the following Tuesday.

Unfortunately, late order requests cannot be accommodated. Please place your order by the deadline.

Veggie Pick-Up

In Whistler, pick-ups are set-up “market style” at the Squamish Lil’wat Cultural Center in the bus loop off of Lorimer Rd (just down the stairs from the maint entrance). Whistler pick-up occurs on Tuesdays, from 4:00-6:00pm.

In Pemberton orders are picked up from Rootdown Organic Farm at 7717 Pemberton Meadows Rd, on Tuesdays from 3:30-6:30pm.

Please note you must choose one pick up site for the whole season. Pemberton members are asked to please not take our bins, but rather transfer items to their boxes or bags.

We ask all our members bring their own bags and containers to both locations to help us reduce the waste and cost of packaging.

Missed pick-ups…

There is no credit given for orders placed but not picked up. If you place an order and then find you are unable to make pick up, please send a friend, neighbor, relative or co-worker to pick up your box. All unclaimed boxes will return to the farm and will be available for pick-up by special arrangement until the following Monday. There is no guarantee on produce quality for boxes picked up late, and no credit for boxes that are not collected.


Quality Guarantee

Rootdown stands behind our reputation for fresh, quality produce. Please let us know if a vegetable you receive is not up to your expectations.  We work hard for you, and want to keep our members well fed!


Customer Support & Cancellation Policy

If you have tried our CSA Harvest Box program for 4 weeks, and it simply isnt’t working for you, we will offer you a refund for the remaining credit on your account. While we prefer not to do this, we understand that the Community Supported Agriculture model is new and unusual for some folks - and we don’t want to punish you for trying something new! We will require you give us a reason for requesting a refund, however, before issuing it, so that we are able to learn from the experience. Please note that the Admin Fee and any Credit Card Fees are non-refundable.

Alternatively, if your life situation changes, or you find the CSA model just isn’t working for you, you may transfer your harvest box over to a friend, co-worker, or family member, no questions asked. Just send an email to admin@rootdownfarm.net and let us know who will be taking over your Harvest Box share, and we will help to make the transition happen.

Privacy Policy

Rootdown will not sell, rent or give away our email list, or any personal information of our members.
